  • Overview

    Element has an opportunity for a Temporary Administrator to join our growing team. This is a great opportunity to develop your Administration career within a Global TIC business.

    Responsibilities

    • Manages visitor greeting duties as per the Exova Standard. Ensures all Exova receptionist relief staff are trained to perform the greeting to the Exova standard
    • Maintains lobby security following established rules, controls common area conference rooms and keeps reception desk and reception general area tidy at all times
    • Manages and controls visitor log books including accurate vehicle license plate log for the building owner and its tenants
    • Answers, screens, and forwards telephone calls, takes messages, performs paging duties and provides basic information as required in a courteous manner
    • Receives and sends fax transmission, sorts and processes mail as required
    • Notes and reports any maintenance required to lobby area or communications equipment
    • Manages the Exova/Tenant maintenance work order requests. Inputs maintenance data/information into the PM software
    • Maintains current file of all maintenance and inspection reports. Generates EPH purchase requisitions as required. EPH general administrative duties including but not limited to FOB programming, long distance code programming, monthly reporting, etc.
    • Manages on-site third party contractor sign in, sign out, and general contractor rule requirements
    • Performs basic clerical work as required for other central services departments as approved
    • Duties and responsibilities may be amended from time to time

    Skills / Qualifications

    • 3-5 years working in a similar capacity
    • Excellent communication skills, English spoken and written. Second language would be an asset
    • MS Office skills including (Word, Excel and PowerPoint)
    • Experience with a Cisco VoIP phone system
    • Experience with an internal paging system
