Element has an opportunity for a Project Administrator supporting our Industrials laboratory in Oakville, Ontario. The main duties include but are not limited to project file creation / logging, invoicing, purchase order processing/receiving and logistics coordination. Client interaction and collaboration with internal technical and/or commercial team members related to project acceptance, terms and conditions, invoicing and project scheduling is also required.
• Responsible for project file creation / logging including client interaction facilitating project transfer between sales and operations.
• Responsible for processing and delivery of invoices using Enterprise Resource Planning (ERP) system.
• Respond to general enquiries and engage with both internal and external customers.
• Handle requests for information where appropriate (e.g. shipping / delivery dates).
• Process purchase order (PO) requisitions in ERP system, ensuring vendor quotes, vendor information, product/service descriptions, and pricing are accurate.
• Receive PO for products and services in the ERP system, verifying that vendor packing slips or work orders match Element POs; escalate discrepancies with internal teams and vendors.
• Collaborate with the procurement department to set up and activate new vendor accounts.
• Partner with Accounts Payable to resolve receiving issues in the system.
• Coordinate shipping requests with freight forwarders.
• 2 years of administrative or customer service experience
• Ability to read and interpret documents such as proposals, contracts, purchase orders and customer specifications.
• Strong verbal and written communication skills to meet a variety of communication needs with strong interpersonal skills that foster open upward and downward communication built on mutual respect.
• Ability to calculate figures and amounts such as discounts, interest, transaction fees, and taxes.
• Ability to solve practical customer problems.
• Proficient in MS Office
