Overview

We’re looking for a detail-oriented and highly organized Logistics & Inventory Specialist to join our team. In this role, you’ll handle the full flow of materials and samples—receiving, tagging, and distributing inventory across multiple buildings—while ensuring accuracy, traceability, and efficiency. You’ll coordinate shipments, manage waste and consumables, and serve as a key point of contact for shipping or receiving issues with customers and internal teams.

 

If you’re someone who thrives under deadlines, can juggle multiple priorities without losing your cool, and has at least a year of logistics or warehouse experience, we want to hear from you. Expect to use your Microsoft Office skills, your forklift know-how (or willingness to learn), and your communication abilities to keep everything running smoothly.

 

Salary: $18- $23/hour DOE

Hours: 7am - 4:30pm Monday through Friday  

 

Responsibilities

Inventory Management & Distribution

  • Receive and inventory all incoming packages, materials, and freight deliveries using appropriate equipment (e.g., forklift).

  • Accurately tag inventory in the system (e.g., LIMS) and sort it for delivery across two buildings, ensuring timely and precise distribution to designated departments.

  • Ensure proper storage of samples and materials per purchase order (PO) specifications to maintain sample integrity and traceability.

  • Communicate any discrepancies between Bills of Lading (BOL), Purchase Orders (PO), and received inventory to Project Management for resolution.

  • Deliver consumables (office supplies, shipments, mail, etc.) to appropriate teams to maintain operational efficiency.

Sample & Waste Management

  • Inspect and document the condition of all incoming samples to ensure quality and integrity before processing.

  • Manage waste inventory and coordinate with waste management vendors to ensure timely disposal in accordance with internal processes and 30-day handling requirements.

  • Oversee scrap and waste disposal in compliance with contractual obligations, collaborating with department leads and vendors as needed.

Shipping & Logistics Coordination

  • Safely package outgoing shipments, including laboratory samples and equipment, to prevent damage or loss during transit.

  • Coordinate daily delivery routes for drivers to ensure efficient customer specimen pickups and optimized scheduling.

  • Schedule and manage outbound freight pickups, ensuring on-time delivery and adherence to shipping protocols.

  • Prepare shipments for third-party services, such as equipment calibrations.

  • Generate traceability numbers from BOLs or POs to support Project Management in work order creation.

Customer Service & Communication

  • Contact customers to resolve shipping or receiving issues and obtain missing or necessary information to move orders forward.

  • Collaborate with Project Management to ensure order accuracy and customer satisfaction.

Compliance & Facility Support

  • Perform all tasks in alignment with written Standard Operating Procedures (SOPs).

  • Conduct daily equipment and vehicle checks, reporting any maintenance needs to management.

  • Support general warehouse functions, including material handling, 5S (Sort, Set in order, Shine, Standardize, Sustain) implementation, and facility upkeep as needed.

Skills / Qualifications

  • High School Diploma or GED required; actively pursuing an Associate's degree preferred.

  • At least 1 year of experience in logistics, warehouse operations, inventory management, or shipping/receiving.

  • Strong organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment.

  • Demonstrated ability to remain calm and effective under pressure, especially when handling multiple priorities.

  • Excellent written and verbal communication skills for interacting with customers, vendors, and cross-functional teams.

  • High level of professional maturity, reliability, and accountability in performing duties independently or in a team.
  • Valid forklift certification (or willingness to obtain) is a plus.
  • Experience working with inventory tracking systems, such as LIMS or ERP software is a plus but not required.
